How to set your FlowLyne telephone assistant live

1. assign a telephone number to assistants

You can activate your assistant in your FlowLyne account. The assistant will be given their own telephone number where they can be reached. (Note: Every FlowLyne assistant is given a German landline number with the Berlin area code (030).

2. Forwarding calls to the assistant

You have two options so that your assistant can answer calls for you:

  1. Option 1: Set up call forwarding (recommended): Forward incoming calls to your assistant's number.
    You can usually find the setting in your telephone system or telephone under "Call forwarding", "Call forwarding", "Call forwarding" or "Call forwarding". The exact procedure depends on your provider, but is usually easy to set up.

  2. Option 2: Use the wizard number directly: You can also publish the FlowLyne number directly, e.g. on your website or in business directories. This allows customers to call the assistant directly without having to be forwarded.

IMPORTANT: Do not forward calls to the number that forwards them to the assistant - otherwise you will end up in an endless loop!

FlowLyne assistants have the ability to forward or transfer calls. Caution: If you forward calls back to your original number, which is itself forwarded to the assistant, an endless loop is created. The assistant would then call itself again and again. ✅ So lution: If you want the assistant to forward calls, you need a second telephone number, e.g. a direct extension or a mobile number.

Selectively forward calls to assistants (e.g. only at certain times)

If you only want to forward calls to the assistant in certain situations (e.g. only outside business hours or if you cannot answer as a replacement for the mailbox), you can set this up on most telephone systems. Most cell phones also offer this option. Please note that you do not have to make this setting in your FlowLyne account, but in your telephone system.
